Electronic Timesheets

As of July 2025, The Fogarty Center’s Self-Directed programs will transition to Electronic Timesheets. 

All participants in the BHDDH Options and EOHHS Personal Choice Self-Directed Programs will receive a letter about this change. This letter will indicate the pay period the change will begin for you and other important information regarding Electronic Timesheets including Quick Start guides for both the Participant/Employer or their Representative and for the Employee. 

Training Opportunities

To help you get started, we are offering in-person training sessions throughout June 2025. These sessions will guide you through the Evvie App and Portal, answer questions, and help you feel confident using the new system.

We encourage all Participants, Representatives, and Employees to attend a training session if possible. These sessions are especially helpful for those who are new to using apps or computers.

What are Electronic Timesheets?

Electronic Timesheets are a secure and digital way to track and approve hours worked. 

The Fogarty Center uses a system called Evvie, which includes:

  • The Evvie App – used by Employees to clock in and out during their shifts
  • The Evvie Portal – used by Participant/Employers, Representatives/Guardians, and their Employees to view, correct, and electronic approve shifts. 

Together, the Evvie App and Portal offer a user-friendly, flexible and efficient way to manage timesheets in real time, using a smartphone, tablet or computer. ALL Participant/Employers, Representatives and the Employees are automatically enrolled in the Evvie system.

Who Uses Electronic Timesheets?

All Options and Personal Choice program participants will begin using this system. 

Some Personal Choice participants are required to adhere to an additional payroll reporting component called Electronic Visit Verification (EVV) which requires that all time submitted by Employees comply with specific requirements mandated by Federal Law. Getting Started

After enrollment in Evvie, you’ll receive a registration email from FMSOne. Follow the link to create your account and access the Evvie Portal or App. If you haven’t received it, contact your Fogarty administrator.

Technology Requirements

  • Participant/Employers or their Representative/Guardian will need access to any device with a web browser, such as a laptop computer, desktop, smartphone or tablet to access the Evvie Portal. 
  • Employees will need access to a smartphone or tablet device that can download an app to access Evvie App. Employees may use their Client/Employer’s device if preferred. Note: The Evvie App will continue to work while offline, but internet connection is needed to upload the shifts to the Evvie Portal.
  • If you need help accessing a device or internet, free or low-cost resources may be available to you: Affordable Tech Resources.
    If you need assistance with accessing technology or internet, contact your Support Broker or Case Manager for additional assistance.

🔗 Evvie Portal Sign-in

Participant/Employer OR Representative/Guardian

Participant/Employers and Representatives/Guardian use the Evvie Portal. Reps/Guardians, if designated, will complete all payroll reporting components on behalf of the Participant/Employer. If you have a designated Rep or Guardian, you will not receive log in information for Evvie.

You will receive an Invitation Email from noreply@annkissam.com 🡪 follow instructions in the invite email to sign up for FMS One.

Once you create your account, you will receive a second email. Return to your email to confirm your email address and complete the sign up.

Participant/Employers OR their Rep/Guardian will use the Evvie Portal to view, approve, deny, or adjust shifts. 

You MUST “Approval Lock” all shifts in the Evvie Portal by the deadline date listed on your payroll calendar. 

If your employee made a mistake during punch in or out, you may correct those errors in the Evvie Portal by adjusting the shift or creating a new shift.

Employee

Employees use BOTH the Evvie App (smartphone or tablet), and the Evvie Portal. Your primary method of timekeeping will be through the Evvie App.

Once the FMS One account set up is complete, download the Evvie App from the App Store (iPhone) or Google Play Store (Android). 

The Evvie App is where you will punch in and out for all shifts, as well as enter shift notes and select tasks completed on shift.

Employees will use the Evvie Portal to view, deny, or adjust shifts. 

If you made a mistake during punch in or out, you may correct those errors in the Evvie Portal by adjusting the shift or creating a new shift.

 

What if Someone Can’t Use the Evvie System?

For Participant/Employers, Representatives, or Employees who are unable to access the Evvie system due to significant accessibility or technological barriers, The Fogarty Center offers a secondary option called Interactive Voice Response (IVR).

However, please note:

  • Evvie is the standard method for submitting and approving time for all programs
  • IVR is more limited and less user-friendly than the Evvie system
  • IVR is best suited for individuals with no internet access and no device compatibility

How IVR Works:

  • Employees must call in from a landline phone located at the Participant/Employer’s home to clock in and out using unique codes assigned by The Fogarty Center
  • The Participant/Employer or their Representative must call in separately to approve each shift.
  • IVR does not support real-time shift review, corrections, or mobile access.

If you believe IVR is your only accessible option, contact your Fogarty Administrator to discuss whether enrollment is best for you.
