Electronic Timesheets (Evvie)

The Fogarty Center’s Self-Directed programs have transitioned to secure Electronic Timesheets using the Evvie system.

What are Electronic Timesheets?

Electronic Timesheets are a secure, digital way to record, review, and approve hours worked, eliminating the need for paper.

The Evvie system includes two parts:

  • Evvie App (Employees): used to clock in and out for each shift.
  • Evvie Portal (Participant/Employer, Representative/Guardian, and Employees): view shifts, make corrections, and approve time for payroll.

Together, the Evvie App and Portal provide a flexible, real-time way to manage timesheets. The App is designed for use on smartphones and tablets, while the Portal can be accessed on smartphones, tablets, or computers and laptops. 

Who Uses Electronic Timesheets?

All Options and Personal Choice participants and their employees will use Evvie. If a Representative is assigned, they will receive the Evvie login access on behalf of the Participant/Employer.

Some participants must also meet an additional payroll requirement called Electronic Visit Verification (EVV), mandated by federal law. Electronic Timesheets meet EVV requirements. If you are a Personal Choice participant and have questions about EVV, view: Personal Choice & EVV.

Roles & Responsibilities

Participant / Employer OR Representative Employee / Staff

In the Evvie Portal you will:

  • Review shifts submitted by the Employee and Approve & Lock them for payroll. You can do this daily, weekly, or at the end of each pay period—before the due date.
  • Correct shifts when needed. Note: If you correct a shift in the Participant/Employer or Representative account, it is returned to the Employee to confirm and resubmit before it can be finalized.
  • All time ready for payment must be Approved & Locked in the Evvie Portal by the end of the payroll period to be processed.

 In the Evvie App you will:

  • Clock IN & OUT at the start and end of every shift at your Employer’s home. 

 In the Evvie Portal you will:

  • View past shifts and history. (Employees cannot see shift history in the app; use the portal.)
  • Review your submitted shifts and correct them if needed before your Employer or Representative Approves & Locks them for payment.

Technology Requirements

  • Participant/Employers and Representatives/Guardians need any device with a web browser (laptop, desktop, smartphone, or tablet) to access the Evvie Portal.
  • Employees need a smartphone or tablet to use the Evvie App (or may use the Participant/Employer’s device if preferred). The app can be used offline, but an internet connection is needed to upload shifts to the Evvie Portal.
  • If you need help accessing a device or internet, free or low-cost resources may be available. Contact your Conflict Free Case Manager (CFCM) or Support Broker for information.
